ThrillFleet is committed to promoting safe, responsible, and respectful use of recreational vehicles. This Safety & Requirements Policy outlines the essential obligations of Hosts and Renters to ensure that every rental is conducted with proper care, documentation, and awareness of associated risks. By booking or listing a vehicle, all users acknowledge and agree to comply with the safety expectations and procedural requirements set forth in this Policy, as well as all related ThrillFleet legal documents.
- HOST RESPONSIBILITIES
1.1 Safety and Maintenance Obligations
The Host is responsible for ensuring that each listed vehicle or property is safe, well-maintained, and legally permitted for use. This includes mechanical integrity, compliance with applicable regulations, and suitability for the intended terrain or environment.
1.2 Verification of Renter Eligibility
The Host must verify that the renter is at least twenty-five years of age and presents a valid driver’s license prior to each handoff. A Host may refuse handoff if the renter appears impaired, unprepared, or unable to operate the vehicle safely.
1.3 Mandatory Documentation with the Renter
The Host shall complete before-and-after photo or video documentation with the renter, capturing the full condition of the vehicle from all angles, including front, sides, rear, interior, and overhead where possible. Use of timestamped media is strongly encouraged. This documentation serves as the official reference for any damage assessment.
1.4 Reporting Unsafe Conditions or Damage
The Host must report any damage, hazardous condition, or safety incident to ThrillFleet within twenty-four hours after the booking window ends. Timeliness is essential to eligibility for damage claims and deposit recovery.
1.5 Host Accountability for Insurance
ThrillFleet does not provide insurance coverage for hosts, vehicles, land, or personal liability. Hosts are solely responsible for maintaining any insurance they deem appropriate or accepting the risk of loss.
- RENTER RESPONSIBILITIES
2.1 Safe and Responsible Operation
Renters agree to operate all vehicles in a safe, controlled, and lawful manner, consistent with their experience level and the nature of the terrain. Reckless behavior, disregard for instructions, or misuse of the vehicle increases inherent risks and may result in liability for resulting damage or injury.
2.2 Respect for Vehicles and Property
Renters must treat all vehicles, equipment, and land with care and respect. This includes avoiding prohibited areas, adhering to posted rules, and maintaining compliance with local laws, trail guidelines, and environmental restrictions. Renters are responsible for returning the vehicle in substantially the same condition in which it was received.
2.3 Participation in Documentation with Host
Renters shall participate fully in before-and-after photo or video documentation conducted with the Host. This documentation must capture the complete condition of the vehicle from all necessary angles. Failure to complete or participate in this documentation may limit the renter’s ability to dispute or defend against any deposit charges or damage claims.
2.4 Operator Eligibility and Restrictions
Only the verified renter, who is at least twenty-five years old and holds a valid driver’s license, may operate the vehicle. No unauthorized drivers or passengers may operate or control the vehicle at any time.
2.5 Duty to Report Incidents and Malfunctions
Renters must immediately report any damage, malfunction, safety hazard, or accident to both the Host and ThrillFleet. Prompt reporting ensures accurate documentation, supports proper handling of incidents, and preserves the renter’s rights during the claim process.
- DEPOSITS AND DAMAGE PROCEDURES
3.1 Security Deposit Requirements
For each rental, a refundable security deposit may be held at booking. A deposit serves as a safeguard for verified damage, loss, or necessary cleaning arising from renter use. Deposits do not constitute insurance and cannot be used for unverified or undocumented claims.
3.2 Use of Deposits for Damage or Loss
Deposits may be applied solely to cover documented physical damage, loss of parts or equipment, or cleaning beyond normal wear. All decisions relating to deposit capture are based on clear, timestamped evidence submitted within required deadlines.
3.3 Host Submission of Damage Evidence
The Host must upload photos or videos documenting any claimed damage within twenty-four hours after the vehicle is returned or the booking window ends. The Host must also provide a written description of the issue. Failure to submit complete evidence within the permitted timeframe forfeits the Host’s right to claim deposit funds.
3.4 Renter Response Deadline
Renters may provide supporting documentation or a response to Host’s claim. Renters have forty-eight hours from time damage evidence is submitted to provide their materials and explanations. After this period, ThrillFleet may proceed with claim review based on evidence submitted.
3.5 Condition Assessment Standards
Deposit decisions rely on the comparison of documented vehicle condition at pickup and return. ThrillFleet evaluates timestamped media, written explanations, and other submitted materials to determine whether deposit funds should be released or withheld.
- SAFETY TIPS
4.1 Pre-Ride Inspection Together
The Host and Renter should inspect the vehicle together before beginning the rental period. This cooperative review helps confirm condition, identify any pre-existing issues, and reinforce understanding of the vehicle’s proper operation.
4.2 Use of Protective Gear
All participants are responsible for wearing appropriate safety gear at all times. This may include helmets, gloves, flotation devices, protective eyewear, or other equipment depending on the vehicle type. Proper gear significantly reduces the risk of injury and enhances overall safety.
4.3 Compliance with Laws and Speed Limits
Users agree to obey all local laws, operational rules, posted speed limits, and trail or waterway regulations. Compliance is essential to maintaining safety and preventing avoidable accidents or legal violations.
4.4 Prohibition on Impaired Operation
Vehicles may not be operated under the influence of alcohol, drugs, or any impairing substances. Impaired operation creates extreme danger and constitutes a violation of this Policy and all related agreements.
4.5 Awareness of Surroundings
Users should remain vigilant for changing terrain conditions, weather shifts, wildlife, pedestrians, other riders, and obstacles. Safe operation requires constant attention to surroundings and adherence to appropriate speeds and routes.
- INCIDENT REPORTING
5.1 Immediate Response to Emergencies
In the event of an accident, injury, or potentially dangerous situation, users must immediately contact local emergency services when necessary. Safety and medical attention take priority over any reporting requirements.
5.2 Documentation of the Incident
Users should document the scene by capturing photos, videos, and a brief written summary. Documentation should include relevant details such as visible damage, environmental conditions, and the sequence of events. Clear and timely documentation assists with accurate claims, dispute resolution, and safety reviews.
5.3 Reporting to ThrillFleet
Any incident involving injury, property damage, malfunction, unsafe conditions, or violations of platform rules must be reported to ThrillFleet within twenty-four hours. Reports may be submitted through the user dashboard or by email to support@thrillfleet.com. Failure to report incidents within this timeframe may affect deposit claims and the handling of disputes.

ThrillFleet encourages all users to approach each rental with a focus on safety, honesty, and respect. Responsible operation and thorough documentation protect everyone involved and ensure continued access to enjoyable outdoor experiences.
